DATA CONTROLLERS' INFORMATION

In accordance with Article 13 and Article 26 of the European Parliament Regulation 1 of the Council (EU) 2016/679 of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation) (hereinafter referred to as 'GDPR'), we inform you that:

I. The Administrators of your personal data are:

  • Gdańsk University of Technology, Gabriela Narutowicza 11/12, 80-233 Gdańsk, hereinafter referred to as "University."
  • Polish Society of Calorimetry and Thermal Analysis named after Wojciech Świętosławski, located in Warsaw, Kasprzaka 44/52, 01-224 Warsaw, hereinafter referred to as "PTKAT"
  • Stanisław Staszic Scientific Association located in Krakow, Garncarska 5/2, 31-115 Krakow, hereinafter referred to as "Association," collectively referred to as "Administrators."

II. Categories of personal data

  • The Administrators will process personal data provided in the registration form you fill out, i.e., name; surname; academic title/degree; email address; phone number; institution you represent;
  • in the case of individuals paying the conference fee from their own bank account; Administrators will also process billing data - private bank account number.

III. Joint arrangements between the Administrators

In connection with the organization of the 15th Conference on Calorimetry and Thermal Analysis (CCTA15), the Administrators have entered into an agreement on joint data administration, in which they agreed on the scopes of their responsibility concerning fulfilling the obligations arising from the GDPR. In particular, we have agreed that:

The University, as playing a leading role in performing the duties imposed by the GDPR, is responsible for: a) collecting Participants' data; b) processing data for informational purposes; c) storing and archiving Participants' data; d) fulfilling informational obligations, as referred to in Article 13 of the GDPR towards Participants by placing it on the registration form; e) ensuring Participants the realization of their rights arising from the provisions of the GDPR. Regardless of this arrangement, Participants may also exercise their rights against PTKAT and the Association. In such a case, PTKAT and the Association will immediately forward such a request to the University, which will fulfill the request of the person concerned; f) reporting personal data breaches to the supervisory authority, in accordance with Article 33 of the GDPR; g) informing Participants about personal data breaches, in accordance with Article 34 of the GDPR; h) acting as a contact point for the supervisory authority.

The Association and PTKAT provide necessary assistance in performing the University's obligations arising from the provisions of the GDPR, in particular by: a) providing the University with information on the processing of Participants' personal data immediately upon receiving such a request; b) reporting to the University any breach of personal data protection of Participants; c) passing on to the University all information necessary to fulfill the obligation to inform Participants about the breach of their data protection; d) supporting the University in fulfilling the obligation to respond to Participants' requests in the scope of exercising their rights defined in Chapter III of the GDPR; e) informing the University about inquiries, applications, or requests from Participants and other individuals, national or European public administration bodies, including the appropriate supervisory authorities and courts, as well as about any inspections or checks by such bodies related to the joint administration of Participants' personal data.

In addition, the Association is responsible for processing the Participants' personal data in connection with ensuring the financial service of the conference.

V. Purposes and legal bases for processing

a) Your personal data will be processed for the organization and conduct of the 15th Conference on Calorimetry and Thermal Analysis (CCTA15), including communication related to participation in the aforementioned conference based on Article 6(1)(b) of the GDPR - processing is necessary for the conclusion of a contract, which is registration and participation in the 15th Conference on Calorimetry and Thermal Analysis (CCTA15).
b) Your personal data will be processed to ensure the financial service of the 15th Conference on Calorimetry and Thermal Analysis (CCTA15) based on Article 6(1)(c) of the GDPR - processing is necessary to fulfill a legal obligation incumbent on the administrator - in connection with the provisions of the Act of 29 September 1994 on accounting.

VI. Period of personal data storage

The period of personal data storage is related to the purposes indicated above for their processing. Your data will be stored for the period necessary to properly implement and settle the conference - 5 years from the end of the calendar year in which the conference was organized.

VII. Recipients of data

Your personal data may be transferred to: a) entities providing IT, legal, accounting, and administrative services for each of the Administrators - based on data processing agreements on behalf of the Administrator; b) state authorities, legal protection bodies (Police, Prosecutor's Office, Court), or local government bodies in connection with the proceedings conducted; c) the entity cooperating with the Administrators in organizing the 15th Conference on Calorimetry and Thermal Analysis (CCTA15): Conference and Leisure Center "Hyrny" at Piłsudskiego 20, 34-500 Zakopane exclusively in the scope of your name and surname.

VIII. Rights of the data subjects

In connection with the processing of your personal data:

a) you have the right to request from the Administrators access to your data and the right to rectify them, the right to delete data, the right to restrict data processing, the right to object to processing in cases and on the conditions specified in the GDPR, b) if you believe that the processing of your personal data by the Administrators violates the provisions of the GDPR, you have the right to lodge a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw).

IX. Information on the voluntary provision of data

Providing personal data to the Administrators is voluntary but necessary for registration and participation in the 15th Conference on Calorimetry and Thermal Analysis (CCTA15). The consequence of not providing personal data will be the inability to participate in the aforementioned conference.

X. Automated decision-making

We inform you that we do not make decisions regarding you in an automated manner, including in the form of profiling.
